Cancellation and Payment Retention Policy
Wild Wimmin Ltd reserve the right to cancel coaching sessions at short notice due to unforeseen circumstances or if we assess the weather conditions to present a safety risk. In the event of cancellation, tickets will be refunded (less a 10% admin charge) or can be transferred to another suitable date.
If participants are unable to attend a session, a minimum of 48 hours’ notice must be provided to be eligible for a refund (less 10% admin charge) or be transferred to another date.
Retreat tickets – when you book a place on a Wild Wimmin adventure retreat, you are entering into a binding contract with Wild Wimmin Ltd. If you have opted to pay a deposit when booking, the balance of your retreat is due no later than 60 days prior to the date of the retreat or your place will be cancelled and deposit retained. Refunds (less 20% admin fee) will only be granted if at least 60 days’ cancellation notice has been provided.
Tickets cannot be transferred to any other person.
Cancellations by us
We reserve the right to cancel any adventure retreat that we offer if there are insufficient bookings. The minimum number of people required to run the holidays is 8. In the event of Wild Wimmin Ltd cancelling your adventure retreat, we will offer you a full refund of the holiday price or another place on another Wild Wimmin retreat, subject to availability. Please note that prices vary across different retreats.
Wild Wimmin Ltd recommends that you take out personal travel insurance to cover the cost of your travel including rail or ferry bookings in the event of cancellation as we are unable to offer financial protection for travel.
COVID-19
In the event of governmental travel restrictions being introduced in response to COVID-19 at the time of your booked holiday and/or forced cancellation of your holiday by us for the same reason, the full price of your holiday will be refunded minus a £50 admin fee.
This refund does not apply to those who are personally affected by COVID-19 or any other illness and travel insurance should be taken out to cover this event. Wild Wimmin Ltd expects each guest follow the current Scottish Government COVID-19 rules and guidance at the time of your retreat and for the duration.
Health and Physical Fitness
It is your responsibility to notify us of any medical conditions which may affect you during your holiday, such as a heart or lung condition, diabetes, epilepsy, pregnancy and any allergies you have. It is also your responsibility to ensure that you are medically fit for swimming in open water. We strongly advise you to seek medical advice prior to booking if you have concerns about cold water swimming.
A certain level of fitness is required for our adventure retreats as you will be walking over moderate and sometimes uneven or boggy ground. Our retreats run all year round and it is likely that you will be swimming in open water with temperatures below 15 degrees. It is your responsibility to bring appropriate equipment for walking and a wetsuit, neoprene gloves and socks. Wetsuits are available to hire for an additional charge of £40 and must be requested at the time of booking.
Kit List
Wild Wimmin Ltd will send you a kit list of mandatory items at least 4 weeks prior to the start of your retreat.
Please bring your own equipment if you have it, including a wetsuit. Wild Wimmin Ltd will provide complimentary swimming caps for all participants and tow floats will be available for anyone who needs to borrow one. Please note, the wearing of tow floats is mandatory for the duration of all Wild Wimmin swims.
If you do not bring the recommended equipment, including but not limited to warm, dry clothing, it could mean you are unable to take part in certain activities – Wild Wimmin Ltd reserve the right to restrict participation in activities on these grounds. Wild Wimmin Ltd cannot be held liable for any financial compensation arising from your failure to bring the equipment identified in the mandatory kit list.
Travel
Travel to and from the retreat destination is not included in the price and must be arranged independently.
Wild Wimmin Ltd cannot be held financially liable for any cancellations or delays in your independent travel arrangements and you are strongly advised to take out personal travel insurance to cover any delays or cancellations. We understand that sometimes delays are unavoidable and we will do our best to accommodate you but only if we can do so without impacting on the rest of the group.
Changes to the itinerary
The weather in Scotland can be unpredictable which may result in last minute alterations to your itinerary. Your safety is our highest priority and Wild Wimmin Ltd reserve the right to make changes to the itinerary at any point if we assess that poor weather conditions could impact on your safety or enjoyment. In the unlikely event that the weather conditions leads us to cancel outdoor activities, we have a number of ‘bad weather’ alternatives up our sleeves for each destination, although please note that the range of available alternative options will vary depending on the time of year
